Terms & Conditions

These Terms & Conditions apply to all services provided by Goen Basis. By booking or using our services, you agree to the terms outlined below.

1. Bookings & Payment

  • All bookings are subject to availability.

  • A booking is confirmed once the client receives an email confirmation from us.

  • Payment for in-person tours is collected at the start of the tour or service, unless otherwise agreed in writing.

  • Accepted payment methods will be communicated during the booking process.

  • Payment for online services (e.g., translation or consulting) is billed after the service, based on the agreed hourly rate.

  • For hourly-rated services (such as concierge or translation services), payment for the service and any requested extended hours will be charged at the end of the service, based on the agreed hourly rate.

  • For custom tours, itineraries are finalized in consultation with the client and confirmed in writing before the service date.

2. Pricing, Included & Not-included

  • All prices are listed in JPY unless otherwise stated.

  • Prices are per group unless specified.

  • Included in the Price

    • Guiding fee

    • Entry fees to sites included in the itinerary (such as temple or attraction entrance fees)

    • Parking costs when a vehicle is used as part of the tour

    • Transportation, only if explicitly requested and confirmed in advance

  • Not Included

    • Transportation to and from meeting points

    • Food and drinks, unless otherwise specified

    • Any other services, expenses, or requests not explicitly listed as “included” are considered not included

  • For custom tours, pricing is based on itinerary complexity, duration, group size, and third-party costs. Once an itinerary is agreed upon, pricing will be confirmed in writing.

  • We reserve the right to adjust prices before booking confirmation due to changes in availability, third-party fees, or external conditions.

3. Cancellation & Changes

  • Changes

    • If you need to change dates, times, or participant numbers, please inform us as soon as possible so we can coordinate with our partners.
      Changes are subject to availability and may incur additional fees.
      Last-minute changes cannot always be accommodated.

  • Cancellations by the Clients

    • Because we block times and days for clients, you must inform us as soon as possible if you need to cancel. Early notice allows us to adjust schedules and minimize the impact on our guides and partner arrangements.

  • Cancellations by Us

    • We may need to cancel or modify services due to circumstances beyond our control, including extreme weather, natural disasters, partner unavailability, or safety concerns.In such cases, we will offer a full refund or propose an alternative arrangement whenever possible.

4. Refund Policy

  • Since payment is collected on the day of the tour, a full refund will be issued if cancellation occurs before the guide and client meet in person

  • If a tour must end early, refunds will be provided on a pro-rated basis:

    • Less than half of the tour completed: 50% refund

    • More than half of the tour completed: 25% refund

  • Entry tickets:

    • If tickets have not yet been purchased, any related fees will be refunded in full.

    • If tickets have already been purchased, these fees are non-refundable.​

5. Liability

  • Participation in tours, workshops, and related activities involves inherent risks. By booking with us, you acknowledge and accept these risks.

  • Participants are responsible for their own health, safety, and personal belongings.

  • We are not liable for injury, loss, damage, delay, or inconvenience caused by factors beyond our reasonable control.

  • For workshops or activities provided by third-party partners, we act solely as a coordinator and are not responsible for the acts or omissions of those partners.

  • Translation and concierge services are provided for assistance and convenience only. We do not guarantee outcomes in legal, medical, or business matters.

  • To the fullest extent permitted by law, our total liability shall not exceed the total amount paid for the service in question.
